Terms and Conditions

1. Your Booking Contract
When you make a booking with Adventurous Women ("AW", "we", "us"), you enter into a contract with The Spark of Adventure Pty Ltd (trading as Adventurous Women).
We design and deliver our tours and experiences, working with a network of trusted local operators, accommodation providers and activity suppliers.
By booking with us, you agree to these Terms & Conditions.
2. Our Role
We act as the tour operator and organiser of your experience.
We design and deliver our tours in one of two ways:
- In some cases, we directly arrange and manage all components of the tour, including accommodation, transport and activities, with our Adventurous Women tour leader facilitating the experience throughout;
- In other cases, we work with carefully selected local operators and suppliers to deliver some or all elements of the itinerary, with our Adventurous Women tour leader accompanying the group
Across all tours, we:
- Curate and package the overall experience
- Coordinate services and logistics
- Provide an Adventurous Women tour leader (where applicable)
Your contract is with us for the delivery of the tour. Flights and any other travel to or from the tour start and end points are not included in your contract with us and are not arranged or provided by Adventurous Women. We are not responsible for the provision, performance, or any issues arising from such travel arrangements.
We take reasonable care in selecting reputable suppliers. While certain services are delivered by independent providers, we remain responsible for the overall coordination and delivery of your tour.
3. Bookings and Payments
Payment schedule
- A deposit is required to secure your place on a tour
- Final payment must be made by the due date advised at booking
- Your booking is confirmed once we accept your payment
- If payment is not received by the due date, we reserve the right to cancel your booking.
All prices:
- Are in Australian dollars
- Include GST (where applicable)
- Are subject to change prior to booking confirmation
4. Cancellation by You
Notice of cancellation by you must be in writing, with an email as an acceptable form of communication, directly to Adventurous Women with the following conditions:
- 90 days + prior to trip departure - Loss of deposit - Partial voucher available*
- 75 days + prior to trip departure - Loss of deposit
- 74 days or less from the start date of the tour - Loss of all monies paid
- No refund is available after departure of a tour has commenced.
*Where you cancel a multi-day tour booking more than 90 days prior to departure and have paid a deposit, we will issue a $250 voucher for use on a future tour with an 18 month validity date from the start date of the original tour. This voucher can be used towards the deposit on a future tour, or it can be used towards your final payment on a tour. If you are using one of these vouchers to pay for a deposit and if you subsequently cancel that tour, no voucher is available.
No refund is available after departure of a tour has commenced. We highly recommend taking trip cancellation cover through your travel insurer to cover you for unforeseen circumstances that may lead you to have to cancel your participation in the tour.
5. Cancellation by Us
We may cancel a tour where:
- Minimum numbers are not met
- Operational or safety factors require it
In this case, you will be offered:
- A full refund; or
- A transfer to another tour; or
- A credit
6. Changes to Your Booking
By You
Changes requested by you may:
- Incur fees
- Be subject to availability
By Us
We may make reasonable changes to:
- Itinerary
- Accommodation
- Transport
- Activities
This may occur due to:
- Weather
- Safety considerations
- Local conditions
- Supplier availability
We will aim to:
- Provide advance notice where possible
- Offer comparable alternatives
7. Force Majeure & Travel Disruption
Travel is inherently subject to disruption.
This includes events beyond our control such as:
- Airline cancellations or delays
- Government travel advisories
- Conflict or civil unrest
- Natural disasters
- Pandemics or public health events
("Force Majeure Event")
Where a Force Majeure Event occurs, we may:
- Modify or re-route your itinerary
- Substitute suppliers
- Delay or reschedule services
If a tour cannot proceed, we will:
- Work with suppliers to recover funds
- Provide credits or refunds to the extent recoverable
However:
- We are not liable for losses arising from events outside our control
- Refunds may be reduced where suppliers do not provide refunds
8. Supplier Changes & Substitution
We may substitute:
- Accommodation providers
- Transport providers
- Activity operators
- Local guides
Where necessary to:
- Maintain safety
- Ensure continuity of the tour
- Respond to changing local conditions
Substitutions will be of a comparable standard where reasonably possible.
9. Required Trip Forms
All guests must complete a liability waiver prior to the start of the trip.
In some cases, we may also request a Personal Medical Information Form, which must be filled out by the traveller and handed to the Tour Leader in a sealed envelope at the beginning of the trip.
If a serious medical emergency occurs during the tour, the envelope will be given to medical personnel to assist in treatment. If no emergency arises, the sealed envelope will be returned to the guest at the conclusion of the trip, unopened.
10. Travel Insurance
Travel insurance is:
- Mandatory for all international tours
- Strongly recommended for all domestic tours
- Best purchased as soon as possible after booking a tour
Your policy must include:
- Emergency medical cover
- Evacuation and repatriation
We strongly recommend that you extend your travel insurance to cover:
- Cancellation and disruption cover
You must provide proof of insurance prior to departure where requested.
We are not responsible for losses that could have been claimed under travel insurance.
11. Health, Fitness & Participation
Our tours may involve:
- Hiking or trekking
- Water-based activities
- Remote or physically demanding environments
By booking, you confirm that:
- You are medically and physically fit to participate
- You have disclosed any relevant conditions
We may require:
- Medical clearance
- Additional information
We reserve the right to:
- Decline participation
- Remove a participant during a tour
Where safety, wellbeing or group dynamics are impacted. No refund will be provided in these circumstances.
12. Acknowledgement of Risk
Adventure travel involves inherent risks.
These may include:
- Physical exertion
- Weather conditions
- Remote locations
- Limited access to medical facilities
By participating, you:
- Acknowledge and accept these risks
- Accept responsibility for your own actions
- Agree to follow instructions from our tour leaders and suppliers
13. Flights and Travel Arrangements
Unless stated otherwise:
- Flights are not included
- Transfers from the airport to the tour start point are not included
- Transfers from the tour end point to the airport are not included
You are responsible for:
- Booking flights
- Managing connections
- Monitoring airline changes
We are not liable for:
- Airline delays
- Flight cancellations
14. Limitation of Liability
Nothing in these Terms excludes, restricts or modifies your rights under the Australian Consumer Law.
To the extent permitted by law, we are not liable for loss or damage arising from:
- Events outside our control
- Acts or omissions of third-party suppliers
- Your failure to follow instructions
Where we are liable for a breach of a consumer guarantee, our liability is limited to:
- Resupplying the services; or
- Paying the cost of having the services supplied again
15. Behaviour and Group Participation
We aim to create a supportive and respectful group environment. You agree to:
- Treat others with respect
- Follow reasonable directions
We reserve the right to remove any participant who:
- Disrupts the group
- Becomes abusive or aggressive towards others
- Poses a risk to safety
No refund will be provided in these circumstances.
16. Itineraries and Information
- Itineraries are indicative only
- Activities and order of events may change
We aim to deliver:
- The experience as described
- Suitable alternatives where necessary
Images and descriptions are representative only.
17. Minimum Numbers
Some tours require a minimum number of participants. If minimum numbers are not met:
- We may cancel or reschedule
- You will be offered a refund, credit or transfer.
- A refund is the default outcome.
18. Website and Third-Party Content
Our website may include links to third-party websites.
We are not responsible for:
- Content on third-party sites
- Services purchased through those sites
19. Publishing Consent
You acknowledge and agree that our future advertising and publicity material may include statements and content such as photographs and videos, made, taken, or provided by passengers and crew, and you consent to such use of your comments or photographic/video likeness. You consent to any such content being taken and you grant us a royalty-free license to reproduce the content for any purpose whatsoever (including promotional materials and marketing) in any means and without any further obligation or compensation payable to you.
20. Privacy
We collect personal information to:
- Manage your booking
- Deliver your tour
We handle your information in accordance with Australian privacy laws.
21. Changes to These Terms
We may update these Terms & Conditions from time to time.
The version applicable to your booking is the version in place at the time of booking.
22. Acceptance of Terms
By booking with us, you:
- Confirm you have read and understood these Terms
- Agree to be bound by them
- Accept them on behalf of all travellers in your booking
Bookings made prior to 18 April 2026 are subject to the previous version of our Booking Terms and Conditions. This new version, published on 18 April 2026, will remain valid until it is replaced.
